Operations / Office Manager
About Curoflow
Curoflow is building the operating system for European private healthcare. Our platform gives SME clinics everything they need to run their practice — from digital patient intake and video consultations to EHR, e-prescriptions, lab integrations, and AI-powered clinical support — in a single, CE-marked, GDPR-compliant solution.
We are 25 people today, operating customers across 9 geographic markets and we are getting ready to scale to ~70 employees across 5 core markets — and beyond — within ~18 months.
We Are Hiring Across the Organisation
This job ad is one of many we are releasing simultaneously. We are building multiple teams in parallel — product, engineering, commercial, operations, and leadership — as we enter the most defining chapter in our company’s history.
While we are publishing these roles now (May 2026), we expect most hires for this wave to begin working between September and November 2026. We will take the time we need to find the right person for each role. We would rather wait for the right fit than rush to fill a seat.
What Kind of Person We Are Looking For
Let’s keep it simple. Curoflow is a start-up that will be having growth pains — with everything that entails. You will be judged first and foremost by your character. If you are applying for this job thinking it is just any other job, you would be wrong.
We will demand a growth mindset and someone who is deeply committed to our goals. You will be compensated accordingly, but we must stress that we are looking for the type of person whose motivation primarily comes from earning stock options and being part of building a great company.
In return you will get that rare, once-in-a-lifetime opportunity that can mark a lifelong memory of what you were part of building.
The Role: Operations / Office Manager
Curoflow is about to grow from 25 to ~70 people across multiple European markets. Someone needs to make sure the operational machinery actually works. That someone is you.
This is an operations-first role. Our Stockholm office will house the commercial, product, and leadership teams — not the engineering team, which is located at our second office outside Sweden. That means the day-to-day office management is manageable, but the operational scope is not. You will be the person who ensures contracts get signed, vendors get managed, tools get set up, events get organised, and the hundred small operational things that a scaling company needs actually happen.
You will work closely with the CEO, and the Head of People to keep the company running smoothly as we add people, offices, and markets at a pace we have never experienced before.
What You’ll Do
Operations (Primary Focus)
• Own and manage all operational vendor relationships: office lease, IT equipment, travel, insurance, and corporate services
• Set up and maintain company-wide operational tools and processes (project management, communication, document management)
• Support the CFO with invoice processing, expense management, and operational budgeting
• Coordinate logistics for multi-country operations: shipping equipment to remote employees, managing local vendor relationships, handling cross-border admin
• Plan and execute company events: offsites, team gatherings, board meeting logistics, and partner events
• Manage office supplies, facilities, and day-to-day workplace needs for the Stockholm team
• Support the CEO with whatever is needed to make his work time more efficiently managed
As We Scale
• Build operational playbooks for new market setups: what needs to happen when we enter a new country (legal entity, office space, local vendors, equipment)
• Support the Head of People with onboarding logistics: equipment procurement, tool access, workspace setup for new hires across multiple locations
• Become the go-to person for “how does this work at Curoflow?” — the operational knowledge hub that keeps a fast-growing, distributed company coherent
• Take ownership of operational efficiency: identify bottlenecks, propose improvements, and implement solutions without waiting to be asked
Who You Are
• 3+ years in operations, office management, or executive assistant roles in a scaling tech company or professional services environment
• Exceptional organiser: you track dozens of parallel workstreams without dropping anything
• Proactive problem-solver: you see what needs to be done before anyone asks
• Comfortable with ambiguity: you can build processes from scratch in a company that is still figuring things out
• Strong communicator in both Swedish and English
• Proficient with modern productivity tools (Microsoft 365, Slack, project management tools)
• Used to working with AI tools as part of your day-to-day to help increase efficiency
Preferably
• Experience in a company that scaled from <30 to 70+ people — you know what operational growing pains look like
• Familiarity with multi-country operations and the admin complexity that comes with European expansion
• Experience supporting C-level executives with travel, scheduling, and event coordination
Why This Role Matters
A scaling company without operational excellence is a company that wastes its best people’s time on things that should just work. You are the person who makes sure the plumbing works so everyone else can focus on building the product and growing the business.
What We Offer
• A role where your work has outsized impact — at a company this size, everything you do matters
• Real ownership of your area from day one, with the autonomy to shape how things are done
• A product and mission that genuinely matters — we are making healthcare more accessible across Europe
• Equity participation (stock options) post probation period, because we want everyone to share in what we are building
• A collaborative, low-ego culture where people care deeply about what they’re building
• Expected start date: September–November 2026
How to Apply
Send your CV and a short cover letter explaining why this role excites you. We value substance over polish — tell us what you’ve built, not just where you’ve worked.
FYI: We are hiring for many roles simultaneously and are committed to finding the right person for each one — not the fastest. Please bear with us if our response times are longer than usual; we promise every application will be reviewed.
